Privacy Policy

Aspira Retirement Living. (“Aspira”, “we”, “us”, “our”) is committed to protecting the privacy of people and their personal information, including personal health information, through responsible information management practices. This Privacy Statement tells you about the ways in which we collect, use, disclose and otherwise manage personal information.

Collection and Use of Personal Information

We may collect, use or disclose personal information as set out below and as otherwise required or permitted by law. 

Services:

At Aspira, we offer a range of senior living options. To become a resident at one of our locations, we collect certain personal information including your name, address, date of birth, and the identity of your substitute decision maker (if applicable). We use your personal information for the purposes of providing our services, including delivering seniors’ housing-related services.

We may also collect and use our residents’ names and personal information (as detailed above) for the purposes of risk management, security and to otherwise improve the quality of Aspira’s services, including the evaluation and monitoring of those services. 

Health Care:

Before commencing occupancy at one of our facilities, we may request a health report completed by a physician. The health report contains personal health information, including health care history and health care you are currently receiving. We use this health information to confirm a suitable care setting in light of individual health needs.

We also collect and use personal health information from our residents, including medications, health conditions, and health care directives for purposes of delivering health care services. We also use this information to assess health care needs to determine if the Aspira facility provides a suitable care setting.

Payment:

To obtain payment for services, we collect your name, billing contact information and bank account information. We use this information for the purposes of processing payment for our services.

Communications:

When you sign-up for communications, including requesting a tour of one of our facilities, we collect certain personal information including your name, email address, and telephone number. We use this information to communicate with you about Aspira and our services.

Contact Us:

When you contact us with a comment, question or complaint, you may be asked for information that identifies you, such as your name, email address, along with additional information we may need to help us promptly answer your question or respond to your request, comment or complaint. We may retain this information to assist you in the future and to improve our customer service. We also use personal information to establish and manage our relationship with you and provide quality service.

Employment:

In connection with a job application or related inquiry, you may provide us with certain personal information about yourself (such as that contained in a resume, cover letter, or similar employment-related materials). We use this information for the purpose of processing and responding to your application for current and future career opportunities.

Video Monitoring:

We may conduct video recording via the use of cameras located in public areas of our residences such as reception and entrance and exit locations. When visiting our residences, your image may be captured in video recordings. We use video recording for security purposes in our residences.

Information about Aspira’s Website

Visiting our Website:

In general, you can visit our website (www.aspiralife.ca) without telling us who you are or submitting any personal information.

We and our third party service providers, including Google Analytics, collect, process, store and analyze information obtained from your browser, including IP address, device identifiers, browser characteristics, operating system details, language preferences, referring URLs, length of visits, and pages viewed. You can obtain additional information on Google Analytics’ collection and processing of data and data privacy and security, including how to learn more about opting out of Google
Analytics’ data collection.

We also use “cookies” or other tools that track, measure and analyze the behaviours and usage patterns of visitors to the Aspira website. We use this information to help us understand how visitors engage with the Aspira website and to improve our visitors’ experience. A cookie is a tiny element of data that the Aspira website can send to your browser, which may then be stored on your computer or mobile device so we can recognize you when you return. We use cookies for analytics purposes as well as for certain features of the Aspira website. You may set your web browser to notify you when you receive a cookie or to not accept certain cookies. However, if you decide not to accept cookies from the Aspira website, you may not be able to take advantage of all of the features of our website.

Online Advertising: 

Aspira uses third parties to serve our advertisements on other websites. This is a common marketing practice referred to as interest-based or online behavioural advertising. Advertising companies may use cookies to collect information (such as services you view) when you visit our website and use that information to serve advertisements tailored to your interests on other third-party websites.

Sharing of Personal Information

Health Care: 

In the course of providing health care services, your personal information and personal health information may be shared with health information custodians involved in your treatment and care (e.g. another physician or health care practitioner, a health professional or member of your clinical care team, a public hospital, pharmacy, laboratory, ambulance service or coroner).
We may also share your personal information for the purposes of contacting your family or a substitute decision maker as required or permitted by applicable law.

Service Providers:

Your personal information may be maintained by Aspira in Canada or by our service providers in Canada or the United States. We use third-parties to provide various services on our behalf. For example, we may use service providers to store our data, authorize and process payments, process test results and send email communications. Our service providers are given the information they need to perform their designated functions, and are not authorized to use or disclose personal information for their own marketing or other purposes.

Legal & Compliance: 

We or our service providers may disclose your personal information where required or permitted by law. For example, we may provide your personal information in response to a search warrant or other legally valid inquiry or order. We may also disclose personal information for certain proceedings and to investigate or prevent actual or suspected loss or harm to persons or property.

Sale of Business:

Personal information may be provided to third parties in connection with a business transaction, including a merger or sale (including transfers made as part of insolvency or bankruptcy proceedings) involving all or part of Aspira Retirement Living, or as part of a corporate reorganization, stock or asset sale or other change in corporate control, including for the purpose of determining whether to proceed or continue with such transaction or business relationship.

Safeguards

Aspira believes that securing your personal information is a very important part of our job. We have implemented reasonable administrative, technical and physical safeguards in an effort to protect against loss, theft or unauthorized access, use, copying, modification, disclosure and disposal of personal information in our custody and control. 
We restrict access to information on a need-to-know basis to employees and authorized service providers who require access to fulfill their job requirements.

We have information retention processes designed to retain information for no longer than necessary for the purposes stated above or to otherwise meet legal requirements.

Access to Your Personal Information

You have the right to access, update, and correct inaccuracies in your personal information in our custody and control, subject to certain exceptions prescribed by law. You may request access to your personal information by writing to the Privacy Officer, whose contact information and email address are provided at the end of this Statement.

We may request certain personal information for the purposes of verifying the identity of the individual seeking access to their personal information records.

Changes to this Privacy Statement

Aspira may revise its privacy practices and this Privacy Statement from time to time. We will post a copy of the current Privacy Statement on the Aspira website at www.aspiralife.ca. In addition, you may request a copy of the Privacy Statement currently in effect at any time by contacting us.
